Returning equipment late due to employees temporarily being overseas and equipment being in another state

Hi I work as an admin and recently discovered our employees in another state never returned their equipment and are now temporarily out of the country for a few weeks I cancelled the accounts on march 17th but have been getting calls from Xfinity threatening us with multiple $250 fees. It may take me a while to get everything organized and to have to wait for them to return to the states. Is this large fee reversible or is it going to auto pay through the card on file? I only find myself here because trying to get this information over the phone has been a dreadful experience.
